Client Portal — your stock, online

The Client Portal is a private, read-only window into your goods at the cold storage. Signed in, you can see exactly what stock you hold, when it came in and went out, and download statements — the same figures the warehouse holds, without having to phone or email for them.

This page describes what you, the depositor, see when you log in. It is a view-only account: the portal never changes stock or bills — only the cold storage's staff do that.

Signing in

Your cold storage issues you a username and password for the portal (this is separate from any staff login the warehouse uses). Open the portal sign-in page your warehouse links you to, enter the username and password, and press Sign in. If the details are wrong you will see Invalid username or password — check them with the warehouse.

Every screen is marked view-only (labelled View only, or Read-Only on a phone) and shows the account you are viewing, so it is always clear you are looking at records, not editing them. A plan pill in the corner reads Free or Premium depending on what your account includes (see Free vs Premium below).

Your stock at a glance

The portal opens on Inventory — "My stock in store": the goods currently held under your account. Across the top, summary tiles show:

  • Bags in store — the total bags, and how many separate lots they span.
  • Quantity — the net weight in store (in MT).
  • Commodities — how many distinct commodities you are holding.
  • Active bonds — for accounts that include it, the value financed against your stock.

Below the tiles, a filter bar lets you narrow by inward window (All / 30 days / 90 days), by Commodity, and — where your account covers more than one location — by Location. The table then lists each lot: its commodity and variety, mark, quantity, location, and inward date. Each row also shows a small download icon for that lot's inward receipt — pulling the receipt PDF is a Premium feature (on a Free account the icon is there but the download is locked).

Along the top of the portal are the tabs Inventory · Movements · Reports. Inventory is always available; Movements (your full history of intakes and deliveries) is a Premium feature.

Reports → Stock Statement

Open Reports and you land on the Stock Statement — a summary of your holdings and the period's transactions. It renders on screen as a set of tiles (bags in store, commodities, inwards for the year) followed by three tables: Holdings, Inwards (this period), and Outwards (this period).

Press Download PDF to save the same statement as a document. Every Stock Statement PDF carries a QR verification code in its letterhead, labelled Scan to verify. Anyone you hand the printout to — a bank, a buyer, an auditor — can scan that code to open a public verification page that confirms the document is genuine and issued by that cold storage, and shows the headline figures frozen at the moment it was generated. (Because the figures are frozen at print time, later stock movements are not reflected on an already-printed copy — the verification page says so plainly.) If a code cannot be matched, the page warns not to trust the paper on that code alone.

The Stock Statement is available on every account. Two further reports — the Account Statement (storage and handling charges billed to you, and your payments, with opening and closing balances) and the Chain Report (each lot traced through outward, bill, and payment) — are Premium features.

Seeing every company together (Premium)

If you store goods with more than one cold storage on ColdIQ, a Premium account gives you a consolidated view"Your goods, everywhere" — that merges your stock across all of them. Its overview totals your bags, weight, commodities, and financing across every company, with a By cold storage section that breaks the numbers down company by company. From there you can open:

  • Inventory — all companies: every lot in store across the cold storages that hold your goods, tagged by company, with per-company filters.
  • Movements — all companies: every intake and delivery across your cold storages, newest first.
  • Reports: a consolidated Stock Statement across all companies, plus Account Statement and Chain reports.

Because money is owed to each business separately, statements never merge across companies — for an account statement or chain report you pick one cold storage's card and view that company's figures. Tap a company to drill into just its records, and use the All companies link to come back to the combined view.

On a Free account that happens to be linked to more than one company or location, the portal shows one at a time: you pick which company or location to view from a simple chooser and can switch whenever you like.

Free vs Premium

  • Free shows your Inventory and your Stock Statement, one location at a time. The Movements tab, the Account Statement and Chain reports, document downloads, and bond/financing figures are shown as locked Premium features.
  • Premium unlocks all your locations in one view, your full movement history, the Account Statement and Chain Report, receipt and bill PDF downloads, the bond and financing summary, and — across several cold storages — the consolidated cross-company view.

To move to Premium, use Request upgrade in the portal. There is no online payment — the cold storage is notified of your request and will contact you to arrange payment and switch the account on. Once it is active, the portal shows Premium active until its renewal date; your stock always stays visible for free in the meantime.
